Closing your account
You can close your company from inside Poolhand, without contacting anyone. This page explains where the controls are and what happens to your records afterwards.
Close the whole company
Sign in as the account owner and go to Manage → Settings. Under Company, choose "Close this company" and type your company name to confirm.
Your subscription is cancelled at the end of the period you have already paid for. Until that date nothing changes — your team keeps working normally. You can reopen the company from the same screen any time before the closing date, which puts everything back exactly as it was. If you are still in your free trial there is no paid period, so the close takes effect straight away and you are not charged.
On the closing date everyone is signed out. The account owner keeps read-only access so your records can still be exported.
Remove one person
Closing the company is not the way to remove a single employee. An owner or manager can deactivate a team member from Settings → Team, which signs them out immediately and frees their seat for the next billing month; the same screen permanently deletes an account once it has been deactivated.
Visit history stays, because it is the company’s service record: past visits keep the name of the person who did them.
What happens to your data
After the company closes your records stay available for export for a limited period, and are then deleted. The exact window, what we keep, and how long backups hold copies are all stated in our Privacy Policy — that document is the single authority, and this page does not restate it.
Ask us to delete it instead
Prefer that we delete your data rather than export it, or want a copy of what we hold? Email us and we will handle it. Write from the address on the account where you can, so we can tell it is you — if you cannot, say so and we will verify another way.
Our Privacy Policy states exactly what we keep and for how long, and our Terms of Service cover cancellation. To ask us to delete your data, email privacy@poolhandhq.com.
